Step by Step Directions to Get Access to HMS IT Services

Step 1: All HMS/HSDM staff, faculty and students are issued a Harvard ID number which corresponds to the first eight digits of your Harvard ID badge.
If you don’t know your Harvard ID #, please contact the appropriate office listed below:

Step 2:  All HMS faculty, staff and students need to register for an eCommons account using your Harvard ID number. An eCommons account allows you access to your computer, email, collaboration shares, wireless network, and eCommons - a portal web site for Harvard Medical School and the Harvard School of Dental Medicine.

Follow the instructions below to obtain an eCommons account.

  1. Go to eCommons and click on New User Registration.
  2. Click Register Now.
  3. Enter your Last Name in STEP 1, your HUID number in STEP 2, then click Sumbit.
  4. Click Continue to validate your email address. 
  5. Create your new password, and click Submit to complete the registration process.
  6. When prompted, you must register for Safecode, a self-service security feature that will allow you to reset your password or unlock your account in the future.
  7. Restart your computer and login with your eCommons username and password.
  8. Register for Message Me to receive emergency notifications from Harvard University.

Step 3: HarvardKey is Harvard University's online user credential, uniquely identifying you to Harvard University IT applications and services. You will need to use your HarvardKey credentials to access PeopleSoft, for reporting your time, or approving staff time if you are a supervisor or manager. If you are granted access to any Harvard University financial application(s), you must use your HarvardKey credentials to login. HarvardKey is independent from your HMS eCommons ID.

  2. Return to the HarvardKey Home Page and click Set Up & Manage Your Two-Step Verification >

Guest Accounts

Harvard Medical School has an Invited User mechanism that allows visitors and guests (non HMS/HSDM employees) to access various School systems when requested by a Sponsor. Sponsors must be Harvard Medical School Faculty or Staff and must have a valid Harvard ID number. Invited User accounts may initially be requested for up to one year, though they may be extended for additional time if approved by a sponsor.

Sponsors need to complete the Invited User Request form. HMS IT Service Desk will correspond with the sponsor to provide the registration instructions once the Guest account is created.

Note: Invited User accounts will NOT have access to the Digital Library due to the licensing agreements with the electronic journals.

Your Email Account

Access your HMS email through the Outlook Web Access (OWA) interface and log in using your eCommons username and password. 
For account lock out or password reset assistanceself-service instructions are available.

Network and Wireless Access

You can connect to the internet by Ethernet connection (wired) or wireless connections.

Safe Computing

Information security is critical in protecting HMS data and resources. Review HMS Encryption, Virus Protection, Account Security, and Data Back Up policies and procedures.

Research Computing

Research Computing staff help researchers get access to software and hardware resources, and provide advice on how to use those resources.

IT Client Service Representative (CSR)

Each Department at HMS/HSDM has a dedicated team of Client Service Representatives. CSRs provide desktop support assistance such as email and printer setups, software installation, and troubleshooting computer issues.
