Harvard ID

All Harvard staff, faculty, and students are issued a Harvard ID number which corresponds to the first eight digits of your Harvard ID badge. If you have any questions related to your Harvard ID number, see below for the following resources:

Locked Account & Password Reset

Your eCommons account gets locked out when you type the wrong password too many times or if you recently changed your eCommons account password. You must update this new password with the various systems and services such as:

  • eCommons and MyCourses
  • MARS
  • PeopleView
  • File Sharing
  • HMS Private Wireless network (WiFi, iPad, tablets, or laptop etc.)
  • HMS VPN
  • HMS email (OWA, MS Outlook, Entourage)
  • Saved passwords any laptop computers you use
  • Saved passwords on any home desktop computer you use
  • Mobile devices such as iPhone, iPad, Droid etc. that has an HMS/HSDM email account configured

Please follow the instructions below to update password and visit the Mobile Computing page for instructions on how to update your new password on your mobile device.
Important Note:
Make sure to update all of your computers and mobile devices! If you reset your password and miss updating one, it can cause account lockouts.

Locked Personal Account

  1. Go to http://ecommons.med.harvard.edu
  2. Log in with your eCommons username and password
  3. If the account is locked, you will see a button that says, to unlock, click here
  4. Click Unlock Account
  5. Enter the two words/text that appears on the screen and Click Send New Code
  6. Note: The 6-digit code that will be sent to you will only be valid for short time
  7. Retrieve the code from either your text-enabled phone or alternate email address
  8. Enter the 6-digit code in the space provided and click Submit
  9. Your account will be unlocked
  10. Click the Login Now link to redisplay the eCommons login page

Change your password

  1. Log in with your current password at http://ecommons.med.harvard.edu
  2. Click on preferences and then security and choose change password
  3. You will be prompted to enter two words or text before a SafeCode is sent to your listed SafeCode device. When you confirm the code that is sent to you, you will be able to change the password

Password expiring soon

  1. Log in with your current password at http://ecommons.med.harvard.edu
  2. You will be prompted that your password is due to expire with an option to reset it
  3. If above message does not happen, click on Preferences and then Security and choose Change password
  4. You will be prompted to enter two words or text before a SafeCode is sent to your listed SafeCode device.  When you confirm the code that is sent to you, you will be able to change the password

Forgotten or expired password

  1. Go to www.ecommons.med.harvard.edu and click on I forgot my password link
  2. Enter your eCommons user name OR email address and click submit
  3. Validate your information and click submit
  4. You will be prompted to enter two words or text before a SafeCode is sent to your listed SafeCode device. When you confirm the code that is sent to you, you will be able to change the password

Locked Departmental Account

If you are locked out of a departmental email account, please contact the HMS IT Service Desk at 617-432-2000 so that a Service Desk Representative can assist you.  


SafeCode

To ensure the integrity of all personal data, password changes at HMS include a mandatory process called SafeCode. Whenever a password reset is requested, a code to complete the reset will be sent to your cell phone (or optionally your non-HMS email address) to protect your account. This single use code must be entered correctly by you before you will be allowed to continue on to change your password. To learn more about SafeCode please visit the Account Security page.


eCommons/MyCourses

Registration

HMS/HSDM/HSPH faculty, staff and students should register for eCommons or MyCourses with their Harvard ID. Other Harvard community members needing access to eCommons should go through the Invited User Process

  1. Go to http://ecommons.med.harvard.edu
  2. Click on Obtaining and Account or New User Registration
  3. Click on Register Now
  4. Complete STEP 1 (last name) and STEP 2 using Harvard ID (no other information is necessary) and then Submit.  Follow on screen instructions

Staff employees of affiliated hospitals who do not have Harvard appointments

  1. Go to http://ecommons.med.harvard.edu
  2. Click on Obtaining and Account or New User Registration
  3. Click on Register Now
  4. Complete STEP 1 (last name) and STEP 3 using Date of Birth or SS# if necessary, (no other information is required) and then Submit
  5. If you are not in our system, click continue and you will be prompted to enter your affiliate email address and continue to complete your registration

Change Email Address and Other Information in eCommons/Whitepages

  1. Log into eCommons
  2. Go to Preferences (upper left)
  3. Go to My Address
  4. Click the Edit button for the address you want to update
  5. Click Save

You can also change "Email" or other information by going to http://whitepages.med.harvard.edu and logging in with your ecommons credentials. Changes will not be updated until HR updates it in the People Soft system.

Access eCommons using HUID and PIN

You can access eCommons using your eight digit Harvard ID Number and PIN, to do so click on "Harvard PIN Users log in here" at www.ecommons.med.harvard.edu.

Reset Your HUID Password

Please go to the Harvard PIN management page. For additional help with your PIN please call the HUIT Help Desk at 617-496-9001.


Guest Key

Guest keys are a code issued to temporary employees, consultants or research collaborators who need access to the Harvard Medical School network. These accounts must be sponsored by full time staff or on quad faculty of the Medical School.

To sponsor a guest please fill out an Invited User Request Form.  A Guest Key will be provided to the sponsor, and it is the sponsor’s responsibility to provide the Guest Key to his/her Guest user.  Have your Guest user follow the instructions below to register with a Guest key.

  1. Go to http://ecommons.med.harvard.edu
  2. Click on Obtaining an Account or New User Registration
  3. Click on  Register Now
  4. Complete STEP 1 (last name) and STEP 2 using guest key (no other information is necessary) and then click Submit

HarvardKey
